Who we are

Internal Benefit Advisors LLC (“Internal Benefit Advisors”, “we”, “us”) provides federal retirement benefit education and advice to federal employees. Our principal office is 3625 Crossings Dr, Suite C, Prescott, AZ 86305, and we also keep an office in Sheridan, Wyoming.

This policy explains what we do with personal information collected through internalbenefitadvisors.com. It applies to this website. It does not cover anything you send us by post, or a conversation with an adviser, though we handle that information to the same standard.

Information you give us

You can read every page of this site without telling us anything. We only receive personal information when you choose to send it.

• When you book a review or send us a message. Your name, email address, telephone number, and whatever you write in the message. The booking form also records the appointment time and your time zone.
• When you talk to us afterwards. If you go on to work with us, you may share details about your federal service, your retirement system, your Thrift Savings Plan, your insurance, or your family. You decide what to tell us and when.

Both the contact form and the booking calendar on this site are provided by GoHighLevel and hosted on book.internalbenefitadvisors.com. What you type into them goes to GoHighLevel and then to us.

Please do not send us a Social Security number, an account number, or a copy of an identity document through a web form. If we need something like that, we will tell you a safer way to send it.

Information collected automatically

Our host, Cloudflare, keeps standard server logs of requests to the site: IP address, browser and device type, the page requested, and the date and time. These are used to serve the site, keep it available and defend it from attack.

The site loads its typefaces from Google Fonts. Doing so tells Google the IP address of the device requesting the font. Nothing else about you is sent.

This website carries no analytics, no tag manager and no advertising or retargeting pixel. We do not track you across other websites, and we do not build an advertising profile of you.

Cookies

This website sets no cookies of its own. The embedded GoHighLevel booking calendar and contact form may set cookies necessary for those tools to work when you interact with them.

How we use your information

• To arrange, confirm and prepare for your benefit review.
• To answer your question, and to follow up on it.
• To provide the advice or education you have asked us for.
• To send you a document, guide or report you requested.
• To meet our record-keeping, supervisory and legal obligations.

We do not make automated decisions about you that produce legal or similarly significant effects.

Text messages

We send text messages only to people who have asked us to. Consent to receive text messages is collected separately on the form, it is never a condition of receiving advice, and it can be withdrawn at any time by replying STOP.

Full details are in our SMS terms. Mobile information collected for text messaging is not sold, rented or shared with third parties for their own marketing.

Who we share it with

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We never have.

We use a small number of service providers, who may only handle your information to provide their service to us:

• GoHighLevel — scheduling, contact records, email and text messaging.
• Cloudflare — website hosting and delivery.
• Google — typeface delivery only.

We may also share information with our professional advisers, or where the law requires it — for example in response to a lawful request from a regulator or a court.

Where we coordinate with your own CPA or attorney, we do so only with your say-so.

Your rights

Depending on where you live, you may have the right to:

• know what personal information we hold about you, and get a copy of it;
• have it corrected if it is wrong;
• have it deleted;
• limit how we use sensitive information;
• opt out of sale or sharing — though as above, we do neither;
• not be treated differently for exercising any of these rights.

California residents have these rights under the California Consumer Privacy Act as amended by the CPRA. Residents of other states with comprehensive privacy laws have comparable rights. We extend the same rights to everyone who asks, wherever you live, because keeping two standards helps nobody.

To exercise any of them, write to info@internalbenefitadvisors.com or call 800-484-5993. We will verify who you are before we act — usually by matching details against the record we already hold — and we will respond within 45 days. You may use an authorised agent.

How long we keep it

If you enquire and we do not go on to work together, we keep your enquiry only as long as it is useful to answer it, and no longer than two years.

If you become a client, we keep your records for seven years after our work together ends. Seven years covers the record-keeping periods state insurance regulators expect, the window most errors-and-omissions insurers ask you to preserve, and the federal tax record period — so one number satisfies all three rather than three competing ones.

Security

Your information is held in access-controlled systems, and it is encrypted in transit. Only the people who need your information to do their job can see it. No system is perfect, and we will not pretend otherwise — but if a breach affects you, we will tell you and the relevant authorities as the law requires.

Children

This site is meant for working-age adults and retirees. We do not knowingly collect information from anyone under 16. If you believe a child has sent us information, write to us and we will delete it.

Changes to this policy

If we change this policy we will change the date at the top of the page. If a change materially affects your rights, we will do more than that — we will tell the people it affects.
